Explaining the EEO-1 Report
The Equal Employment Opportunity Commission (EEOC) requires large companies to report historical taxable wages and total hours worked for 2019 and 2020. In 2019, the EEOC updated its requirements for the annual EEO-1 Report to include the collection of pay data for calendar years 2019 and 2020. Zenefits will be helping companies by providing company data in one of the following methods:
- Raw data spreadsheet
- EEO formatted upload file
What will these reports contain?
In the raw data file, you'll see several new fields included in addition to the standard fields.
- 2019 total taxable earnings
- 2019 total hours worked
- 2020 total taxable earnings
- 2020 total hours worked
- EEO Race
- Work Location & Job Category (as of last day of that year)
Additionally, the file will include the EEO encoded values for Race/Ethnicity, Gender, Job Category, and Total Taxable Earnings.
Alternatively, companies can generate an aggregate data file:
- Click the EEO reporting card in Business Intelligence.
- Fill in any missing data within the EEO census (missing data typically stems from using another payroll or time & attendance provider).
- Download the CSV file.
- Review it for accuracy!
- Upload to the filing website.
What are the new requirements?
Component 2 is the new component of EEO reporting this year. To read more about what it entails, visit the EEOC website.
What if I don't use Zenefits Payroll or Zenefits Time & Attendance?
You'll still have access to download the raw data file, but the wage and hour information will not be included.
Can I download this file if we just began using Zenefits?
Yes, the report will include all of the information you currently have in Zenefits. If you weren't using Zenefits Payroll or Time & Attendance during 2019 or 2020, these fields
will remain blank in the file.
Why are there so many blank cells in the EEO data? Shouldn't Zenefits have this as my system of record?
If you didn't use Zenefits Payroll or Time & Attendance in 2019 and 2020, you'll notice the file will contain blank cells.
Why are the zip codes I entered only displaying 4 digits in Excel?
Excel formatting removes any leading zeros, so if you entered any zip codes that begin with 0 you'll notice this in the Excel version. If no formatting changes are made, the file will upload without problem to the EEO. If you wish to add the leading 0 back into the Excel file, it's recommended to change the formatting of the column to Text so the 0 isn't overwritten when you retype the 0.
Why do some workers have blank fields if I used Zenefits for Payroll and/or Time & Attendance in 2019 and 2020?
The system will return blank values if an FLSA status was not assigned to a worker, or if they were a non-exempt worker and there is no Time & Attendance data.
Why am I receiving an endless loading screen?
If you haven't enabled the EEO question in your company's Hiring app, you won't be able to create an EEO report.
What is the pay period associated with the Component 2 information?
The Component 2 information is as of December 31 of either 2019 or 2020. It is not associated with a specific pay period.
