FAQs about Filing and Paying Quarterly Taxes with Zenefits Payroll

Yes. As long as you've provided the right Tax IDs, Zenefits Payroll will do the rest. The Powers of Attorney forms that were signed during setup authorize Zenefits Payroll to file on behalf of the company, so you don't need to sign returns before they're filed.

However, some companies may need to take an extra step or two:

  • Those who pay employees in one of the states on this list should authorize Zenefits Payroll as a third-party administrator (TPA) to allow Zenefits Payroll to file and pay their taxes.
  • Those who haven't yet provided tax IDs in each state where Zenefits Payroll needs to pay and file their taxes will need to do so or they will remain on Calculate Only. See these instructions for adding tax IDs in Zenefits.
  • If you have recently registered in a new state and want Zenefits to handle tax filing in this state, follow the instructions here to add a new state to Zenefits Payroll.

If any of these cases applies to you, make sure to follow the relevant instructions. Otherwise, Zenefits Payroll may not be able to pay or file your taxes. More information about tax levels of service

In most cases, Zenefits Payroll will use the electronic filing and payment systems provided by the IRS and state tax agencies. For agencies that still require paper returns, Zenefits Payroll will manually complete returns and send them to the agency.

When filing your returns electronically, Zenefits Payroll does not use the actual tax return forms used by Federal, state, or local jurisdictions. Instead, the data is simply sent using the system and standards provided by each tax agency. As a result, Zenefits Payroll doesn't generate completed returns for these jurisdictions.

Contact Zenefits Customer Care to have Zenefits Payroll refund any taxes collected in the quarter. Then, follow these instructions to file and pay on your own.

In most cases, Zenefits Payroll will simply complete your returns using the tax information gathered during the quarter, and make your payments for Federal and state unemployment, and any other tax that is not determined until the end of the quarter (such as NYC's MCTMT).

As part of standard procedure, Zenefits Payroll will also perform reconciliations to make sure that the taxes we collected and paid for you match the amounts expected by the agenices. If there are discrepancies, you'll see a reconciliation run in payroll to credits or debit your account.

No. However, you can download a Quarterly Tax Report in the Reports tab of Zenefits Payroll. This report will be available near the end of each quarter, and will contain the amounts that Zenefits Payroll has calculated (and possibly paid) for each jurisdiction.

For jurisdictions that still require paper returns, Zenefits Payroll will complete the returns manually, and can provide copies on request.
