How do I change someone from full-time or part-time status?

Zenefits allows administrators to change employment type from part time to full time, or full time to part time/temporary. Managers can submit requests to change employment type, salary, and other fields.

The ACA definition of full-time employment is equivalent to 30 hours per week.

Changes in employment status affect benefits eligibility. If the worker is moved from:

  • Part-Time to Full-Time
    • They may now be eligible for benefits in Zenefits.
    • Only the worker will receive an email notification of the status change.
  • Full-time  to  Part-time  or Temporary
    • Generally, they are no longer eligible for benefits in Zenefits.
    • Zenefits will inform the  requestor  of the worker's final day on benefits, and give them the option to pay for COBRA premiums for one or more months.

However, under the ACA, an employee of a company with 50 or more employees may still be eligible for benefits if they qualified during the measurement period. If so, please contact Support.

Administrators are not advised to change hire dates, as this could affect insurance eligibility and effective dates.

Changes in employment type will also affect year end tax statements. If your company is using Zenefits Payroll and you change a user from:

  • An independent contractor to an employee
    • If they receive payments totaling greater than $600 as an independent contractor, they'll now be eligible to receive both a W-2 and a 1099. Keep in mind, that you'll need to opt-in to the 1099 filing at year end.
  • An employee to an independent contractor
    • If they receive payments totaling greater than $600 as an independent contractor, they'll now be eligible to receive both a W-2 and a 1099. Keep in mind, that you'll need to opt-in to the 1099 filing at year end.

Changing worker status as an Admin

  1. Click the Directory app.
  2. Click on the name of the worker.
  3. In the Employment and Compensation table, click Make Changes.
  4. On the next page, enter:
    • The type of change you are making.
    • The new salary type.
    • The hourly rate or annual salary.
    • Who to notify.
No approval is necessary for administrators. The change will be made either immediately or on the effective date.

Changes made to employment type will not send a new offer letter.

Changing status as a Manager

  1. In the My Team card, click View.
  2. Click on the name of the worker.
  3. In the upper right hand of the Employment and Compensation table, click Request Changes
  4. On the Request Changes page:
    1. Select whether the change should take effect immediately upon approval, or specify the effective date.
    2. Enter more details to provide justification for the request to the designated approver.
    3. In the Edit Details table, select the desired Employment Type from the dropdown list in the Proposed Change column.
  5. If the change is approved, the worker will receive notification of the change. If the request is denied, the worker will not receive any notifications.

Change contingent worker status

If you have contingent workers in your staff that will become employees, you can follow the process below.
  1. From the contingent worker's profile, click the Actions dropdown to Terminate.
  2. Once you complete the termination, navigate to the Hiring app and click Hire.
    Note: Before hiring an employee, make sure all necessary payments are processed as a contingent worker. Once they are hired as a Full Time or Part Time employee, you will be unable to process payment to their 1099.
  3. When the rehire window comes up, select Rehire.
  4. In the Employment Type step of the rehire flow, you'll be able to make any changes to their employment status.
  5. Once you complete the rehire flow and invite the worker, they'll be asked to onboard with Zenefits using all the information required for employees.
